POES Notes May 9, 2011
Attendees: Shari Steele, Corena McManus, Melissa Ward, Bonnie Kloos, Alison Wynne

Old business: April meeting minutes recap by Corena McManus. Mrs. Platt requested the extra books from the book donations for the new “Book Boutique”. The AR students use their “dollars” to purchase books instead of trinket toys. About $650 was deposited into the account from the Spring Dance. As a thank you, $100 was donated to the NHS group for their help this year. Shari and Bonnie attended the NHS annual breakfast and presented the check to the group. New arrangements will be made with the group for next fall (details will be discussed later).

New Business:
Reading Friends:Marilyn Brissett-Krueger attended to inform the group about Reading Friends. This group organizes volunteers to read with the students at SCF Elem. The group was formed in 2007 and now has 40 members. The group is looking to collaborate with POES and is always looking for volunteers.

Library Needs:Shari relayed Mrs. Platt’s need for help in the library. There is always a need for adults to help volunteer in the library. Shari will have Mrs. Platt send her list of programs and ideas to Corena to relay to the group.

Volunteer ideas: The distribution of volunteer sheets was discussed. It may be good to send out sheets in the Monday mailers every quarter to ask for volunteers for the next few events on the calendar. It was also discussed to consider having a “rush” or other way to gather community groups who need volunteers.

Backpack Program: Shari relayed Maria Gjovig’s message that the Backpack program is starting and their first meeting is May 10 at 8 AM. They are in the beginning stages and more information will be relayed as it is received.

Mezzanine Clean-up: All the items belonging to POES need to be organized in the mezzanine by the end of the school year. Shari is going to talk to Brian about what space the group can have for the items. Bonnie may have her husband build shelves. Bonnie may spend time organizing the items, especially into groups for the Mouse House, Fall Bake sale, etc. Some clear storage containers may need to be purchased for the items.

RiverBucks: Melissa explained that it is our month for getting donations from the SCF Riverbank’s RiverBucks program. All the proceeds from coffee and cookie purchases in the month of May will be donated to the POES group. Melissa is going to organize coffee and cookie orders from the teachers and deliver the coffee.

Teacher/Staff Appreciation:The organization of the food is going well. Corena will send another email to request more donations. Randi Shaw sent an email to the teachers as an invitation. Bonnie will bring a box for transporting the food to Dresser. Alison is going to try to bring the food from SCF to Dresser to help set up the lunch there. Shari will set up the food at the SCF elem. A request for more volunteers to set up will go out with the email as well.

Bus Driver Appreciation: An email will go out requesting food for the brunch on May 12. Food will need to be delivered to the bus garage before the school day. The food will be 3 egg bakes, donuts, muffins, bagels, fruit and juice. Shari will set up the table before the food starts arriving and check on the table supplies needed for the brunch. Melissa will create an invitation and get it to the bus garage Tuesday morning.

Administrative Assistant appreciation: POES will give gifts to MaryJo, Randi and Shaun. Melissa will make the arrangements.

Year End Celebration: May 14 from 12-3 pm. POES will provide food and games as appreciation to all the parents and volunteers that have helped this year. Corena will send an email invite. Shari will create a ½ sheet to go into the student’s backpacks. Shari and Bonnie will buy the food for the picnic.

Other summer ideas: Possible fundraising could be a garage sale, carnival, Cheer camp or Princess camp. More ideas can be discussed at the next meeting.

The winner was Ellie Shelby and she received a $15 gift card from Wal-Mart. Her teacher, Mrs. Peterson, received a bag of classroom supplies. POES received thank you notes from both Ellie and Mrs. Peterson's class. We receive good responses to the sign-up sheets as well.

New Business

BAKE SALE FUNDRAISER on Sept. 25:
Planning is going well and we have a good response for requested baked goods and other items. We are still short on workers for the afternoon shifts. Additional items needed were discussed: donation jar, fliers (left-over from Wannigan Days), easels, signs with POES on them, knives, spatulas, platters, chalkboards
for pricing info, coolers with ice, cash boxes, and aprons. Corena will pick up 6 tables (5 foot tables) from the high school. Shari will make the table cloths. An email will go out to the group as a reminder and a small note will be given to Randi for the backpacks later this week.

FAMILY FUN NIGHT:
Maria Gjovig came to discuss the event on Oct 12. No additional help is needed from the group for the Oct. event. We discussed the Dec. 7 event. Help will be needed to work the game stations. We discussed a possible dinner with soups, etc. to be provided before the event.

SWEATSHIRT FUNDRAISER:
We discussed the pricing of the sweatshirts ($24 for Youth and $26 for Adults) and vendor options to reduce costs and increase profit. It was decided to table the idea at this time.

MOUSE HOUSE:
Tentative dates are Dec. 14-16 (Tues., Wed., and Thurs.) Shari will confirm with Randi Shaw the available dates for Mouse House. Work nights will be Nov. 4 and Nov. 18 from 6-8:30pm to make Mouse House items. It was suggested to have kits ready for parents to take when they attend conferences on Nov. 8 and 11. A possible third work night was discussed for 12/2.

MISCELLANEOUS
Shari suggested that we create poster boards with the Thank You notes we receive and pictures from the events. This will help with awareness and displayed at the events. Melissa is going to work on the project. Corena may develop a slideshow of digital pictures for display at events.

Signage needs to be better at the events and at the school to announce the meetings, upcoming events, etc. We discussed posting at the school, signs outside the school, utilize Monday Mailers more, and posting at each event.

In the last week of October, POES usually contributes snacks for "Drug Free" theme. Maria Gjovig will come up with the theme and tags needed for each baggie and let us know what snack to provide.

Maria Gjovig received a brochure in the mail for a grant to purchase playground equipment. This was discussed and Melissa Ward agreed to take the information. We also discussed the possibility of planting trees by the current playground to provide shade.

Maria Govig provided the group with the "Teacher Big Wish List" and some items were discussed. No action was taken at this time.

Calendar of events is needed to inform people of upcoming events. It could be posted at the school and at our events. It was suggested to have contact people listed by each event.

A box for donations was discussed to have available at the school office and at the SCF library, so that parents and the community can donate Mouse House items, books, etc. for our events.

An idea to post at the high school was discussed. We could use high school students to help with meetings to watch the children or help at events. We discussed the child development class and CLOWNS. The students with Laurie Sabel may be able to help with Mouse House items that require sewing.

Miranda Doolittle has volunteered to take care of Kindergarten birthday celebrations at the Dresser school. Kim Sawicki will be helping.

The organization of the group was discussed. Maria Gjovig agreed to continue as School Liason. Corena McManus volunteered to be Communications Officer. It was agreed that no other decisions would be made at this time.

NEXT MEETING:
Oct. 18 at 6 pm will be the next meeting. Shari will confirm available space at the school. It was suggested to make the night less formal and to encourage networking between the parents to help encourage interest in the group. Children will be welcome and POES will arrange for high school students/cheerleaders to
help watch the kids and play games.
